1. About Vinta Rides

1.1 Our Identity 

       

Vinta Rides is the trading name of a company registered in England and Wales under company number 07598741. We are a fully licensed private hire operator regulated by Transport for London (TfL), operating under the highest standards of professionalism, discretion, and client care.

1.2 Scope & Acceptance

 

These Terms and Conditions govern all services provided by Vinta Rides, whether booked directly, through our website, by telephone, email, WhatsApp, or via any authorised third-party channel. Proceeding with a booking constitutes the client’s full and unconditional acceptance of these terms.

We reserve the right to revise these Terms and Conditions at any time. Updates will be published on our website with reasonable notice. Clients who continue to use our services following any published revision will be deemed to have accepted the updated terms.

 

1.3 Standards of Conduct Inside the Vehicle

 

Vinta Rides maintains an environment of calm, professionalism, and discretion throughout every journey. Clients are expected to conduct themselves accordingly. The following rules apply to all passengers without exception:

  • Smoking, vaping, or the use of e-cigarettes is strictly prohibited inside all vehicles.
  • The consumption of alcohol is not permitted unless expressly agreed in advance and in writing.
  • Loud music, speaker calls, or any conduct that disrupts the chauffeur or other passengers is not permitted.
  • The use, possession, or distribution of illegal substances will result in immediate termination of the journey without any refund.
  • Any soiling of the vehicle — including vomiting, food spillage, or similar — will incur a cleaning and valeting surcharge of between £80.00 and £150.00, charged to the payment method on file.

2. Reservations & Booking

2.1 How to Place a Booking

 

All journeys must be reserved in advance. Walk-in or on-demand requests cannot be guaranteed. Bookings are accepted through the following authorised channels:

Every confirmed booking will receive written confirmation stating the journey details, agreed price, vehicle class, and chauffeur information. Please review all details carefully and notify us of any discrepancies promptly.

 

2.2 Minimum Notice Requirements

 

To guarantee vehicle and chauffeur availability, the following minimum booking lead times apply:

  • Standard Executive & Business Class: minimum sixty (60) minutes’ notice.
  • Luxury Class and Luxury SUV vehicles: minimum twenty-four (24) hours’ notice.
  • International, European, and long-distance bookings: minimum forty-eight (48) hours’ notice.
  • Wedding, VIP, and large-group bookings: minimum seventy-two (72) hours’ notice recommended.

2.3 Vehicle Classes & Fleet

 

Clients may select from the following vehicle categories, subject to availability at the time of booking:

  • Business Class — Mercedes-Benz E-Class and equivalent executive saloons.
  • Luxury Class — Mercedes-Benz S-Class, BMW 7 Series, and equivalent flagship saloons.
  • Luxury SUV — Range Rover Autobiography and equivalent premium SUVs.
  • Executive Van — Mercedes-Benz V-Class for group and family travel.
  • Standard Van — Mercedes-Benz Vito for larger group requirements.

Vehicle images displayed on our website and marketing materials are illustrative. Whilst we strive to provide the exact make and model requested, a vehicle of equivalent or superior standard may be substituted where necessary.

 

2.4 Complimentary Upgrades

 

Where operational circumstances require a vehicle substitution, Vinta Rides may, at its discretion, provide an upgrade to a higher vehicle class. In all such cases, the client will be charged only the rate applicable to their originally booked vehicle class.

 

2.5 Geographic Coverage

 

Vinta Rides operates throughout Greater London and the surrounding areas, as well as across the United Kingdom for intercity and long-distance journeys. International services are available on request. Full address details, including postcodes, must be provided at the time of booking to ensure accurate journey planning and fare quotation.

 

2.6 Cross-Border & International Travel

 

For journeys involving international border crossings, including travel via the Eurotunnel or ferry services, all crossing fees, port charges, and associated travel costs are payable by the client and are not included within the agreed transfer fare. These charges will be communicated and confirmed prior to journey commencement.

3. Operational Standards

3.1 Chauffeur Standards

 

Every Vinta Rides chauffeur is selected through a rigorous vetting process. All chauffeurs hold a valid Transport for London (TfL) Private Hire Vehicle licence, have passed an enhanced Disclosure and Barring Service (DBS) check, and have been trained in executive etiquette, client confidentiality, and professional driving standards. Chauffeurs are bound by strict non-disclosure agreements to protect client privacy at all times.

 

3.2 Vehicle Presentation

 

All vehicles are maintained to manufacturer standards and subjected to a full pre-journey inspection and valet before every booking. Mineral water, device charging, and complimentary Wi-Fi are provided as standard in all vehicles. Additional client preferences can be accommodated upon advance request.

 

3.3 Child Travel Policy

 

The safety of all passengers, particularly children, is a priority that Vinta Rides takes seriously. The following applies to all bookings involving children:

  • Child seats and booster seats are available upon advance request. An additional charge may apply.
  • Under current UK legislation, private hire vehicles are legally exempt from mandatory child seat requirements; however, we strongly encourage their use for the safety of young passengers.
  • Children under the age of sixteen (16) must be accompanied by a parent or legal guardian throughout the journey.
  • Passengers under the age of eighteen (18) who are travelling unaccompanied require prior written authorisation from a parent or guardian before the booking will be confirmed.
  • The minimum age for any unaccompanied passenger is twelve (12) years.

3.4 Travelling with Pets

 

Passengers wishing to travel with animals must obtain prior approval at the time of booking. Assistance and guide dogs are welcome at all times without prior notice, in compliance with UK law. For all other animals, approval is at our discretion and must be confirmed in writing. Any cleaning, repair, or hygiene costs arising from pet carriage will be charged to the client.

 

3.5 Luggage

 

Luggage must be declared at the time of booking. The following terms apply to all luggage carried within our vehicles:

  • Luggage must remain within the limits agreed at the time of booking.
  • Only small cabin-sized items may be placed within the passenger cabin. All larger items must be stored in the vehicle’s boot or luggage compartment.
  • Rear windows and driver sightlines must remain unobstructed at all times for safety purposes.
  • Chauffeurs reserve the right to decline carriage of undeclared, oversized, or hazardous items.
  • For clients with specialist luggage needs — including sports equipment, musical instruments, or exhibition materials — please advise us at the time of booking so that appropriate vehicle arrangements can be made.

3.6 Chauffeur Assistance with Luggage

 

Our chauffeurs will assist with loading and unloading luggage as a standard part of our service. For properties involving stairs, multi-floor buildings, or loading areas requiring specialist handling, dedicated porter assistance can be arranged in advance at an additional cost. Please notify us of any such requirements when making your reservation.

 

3.7 Luggage-Only Transportation

 

Vinta Rides offers a dedicated luggage transportation service via our fleet of luggage vans. These vehicles are exclusively for the movement of goods and are not licensed for passenger transport. A single helper may accompany the van for loading and unloading purposes only, in the capacity of an assistant and not as a fare-paying passenger. All charges for this service relate solely to the movement of luggage. By proceeding with a luggage-only booking, the client confirms their understanding and acceptance of this arrangement.

 

3.8 Delays Beyond Our Control

 

Vinta Rides takes every possible measure to ensure punctual service. However, we cannot accept liability for delays arising from circumstances that are outside our reasonable control. These include, but are not limited to, severe traffic congestion, road incidents or closures, adverse weather, civil disruption, emergency services activity, or any other force majeure event. In such circumstances, no refund or compensation will be applicable for missed flights, trains, appointments, or other time-sensitive commitments.

 

3.9 Client-Initiated Fines or Penalties

 

Where a client’s instructions result in fines, penalties, parking charges, or other financial liabilities — including direction to stop in prohibited areas, deviate from agreed routes, or proceed without required permits — full responsibility for all such costs rests with the client.

 

3.10 In-Vehicle Recording

 

Select vehicles in the Vinta Rides fleet are equipped with forward-facing dashcams for the purposes of road safety and incident documentation. These devices capture video only and do not record audio. Clients with objections to dashcam recording should notify us prior to their journey, and we will endeavour to allocate a non-equipped vehicle where one is available.

 

3.11 GPS Fleet Management

 

All Vinta Rides vehicles are tracked via GPS for operational efficiency and passenger safety. Journey data is stored securely and managed in full compliance with the UK General Data Protection Regulation (UK GDPR). This data is used solely for service delivery, scheduling, safety monitoring, and complaints resolution. Clients may formally request access to their journey records within thirty (30) days of travel completion.

 

3.12 Vehicle Replacement

 

In the event that a booked vehicle becomes unavailable due to a breakdown, an accident, or any unforeseen operational issue, Vinta Rides will arrange an alternative vehicle of equivalent or superior class at no additional charge. We will communicate any such change to the client at the earliest possible opportunity.

4. Cancellations, No-Shows & Flight Monitoring

4.1 What Constitutes a No-Show

 

A booking will be classified as a no-show under the following circumstances:

  • Airport arrivals: the client has not presented themselves or made contact within ninety (90) minutes of the confirmed actual flight landing time.
  • All other pick-up locations: the client cannot be located and has not been in contact within thirty (30) minutes of the agreed collection time.

In all confirmed no-show cases, the full journey fare will be charged and no refund will be issued.

 

4.2 Cancellation Terms by Booking Type

 

The following cancellation terms apply depending on the nature of the booking:

  • Standard transfers: cancellations made more than 12 hours before the scheduled pick-up will not incur any charge.
  • Hourly and as-directed bookings: cancellations are free of charge if made more than 12 hours before the start time,
  • Luxury Class & Luxury SUV bookings: a minimum of 12 hours’ notice is required to cancel without charge. Late cancellations will be invoiced in full.
  • Wedding, VIP, and event bookings: a minimum of seven 3 days’ notice is required. Bookings cancelled within three days of the event date may be subject to a partial or full charge depending on costs already committed.
  • European and international journeys: cancellations must be received no later than seven (7) days before departure. Any Eurotunnel, ferry, or pre-booked crossing fees are strictly non-refundable.

 

4.3 Cancellation Due to Flight Disruption

 

Where a client’s flight is cancelled, significantly delayed, or rerouted, and the client needs to amend or cancel their transfer, we ask that we are informed as promptly as possible and no later than four (4) hours before the originally scheduled collection time. Notifications received within this window will be treated sympathetically and without charge where operationally possible.

 

4.4 Real-Time Flight Monitoring & Dynamic Pick-Up Times

 

Vinta Rides monitors all inbound flights in real time. For airport collection bookings, pick-up times are automatically recalculated as follows:

  • If a flight lands later than its scheduled time, the pick-up time is moved forward by the equivalent delay.
  • If a flight lands ahead of schedule, the pick-up time is brought forward proportionally.
  • The complimentary waiting period of sixty (60) minutes begins from the moment of actual touchdown — not the originally scheduled landing time.

Example: Flight scheduled to land at 10:00, client requested pick-up at 10:30. Flight actually lands at 10:50 — new pick-up time becomes 11:20.

5. Passenger Conduct & Our Responsibilities

5.1 Expected Standards of Behaviour

 

All passengers are expected to conduct themselves with courtesy and respect throughout their journey. The following conduct is strictly prohibited:

  • Smoking or use of e-cigarettes or vaping devices inside the vehicle.
  • Verbal aggression, threatening language, or abusive behaviour directed at any person.
  • Physical contact with the chauffeur whilst the vehicle is in motion.
  • Tampering with vehicle controls, doors, or safety equipment.
  • Any behaviour that distracts, endangers, or impairs the chauffeur’s ability to operate the vehicle safely.

A chauffeur may, at their sole discretion, refuse to commence or immediately terminate a journey where a passenger is visibly intoxicated, acting aggressively, or in clear breach of these standards. No refund will be issued in such circumstances.

 

5.2 Responsibility for Lost Items

 

Items left in Vinta Rides vehicles will be held at our registered office for a period of thirty (30) days from the date of the journey. Clients are responsible for arranging collection or return delivery. Any courier or postage costs are payable by the client. Vinta Rides accepts no liability for personal items lost or damaged during a journey, unless a specific failure of our duty of care can be clearly evidenced.

 

5.3 Damage to the Vehicle

 

Clients are fully liable for any damage caused to the vehicle’s interior or exterior during the course of their booking. A cleaning and valeting surcharge of between £80.00 and £150.00 applies for incidents involving soiling, spillage, or fouling. Charges for structural or cosmetic damage will reflect the actual cost of repair or replacement. All such charges will be applied to the original payment method used for the booking. Disputes should be raised through our formal complaints process, and unresolved matters may be referred to the appropriate legal channels.

 

5.4 Liability for Passenger Injuries

 

Vinta Rides shall not be held responsible for any injury sustained by a passenger as a direct result of their own reckless, negligent, or unsafe behaviour during the course of a journey.

 

5.5 Weddings & Ceremonial Events

 

For wedding and ceremonial bookings, decorative dressings including ribbons, flowers, and signage may be applied to the exterior of the vehicle for photographic and ceremonial purposes. All decorations must be removed in full before the vehicle departs from any location. Any damage to the vehicle’s paintwork, bodywork, or fittings caused by decorative materials will be the financial responsibility of the client.

6. Pricing, Payment & Financial Terms

6.1 Complimentary Waiting Allowances

The following complimentary waiting periods are included as standard with every booking:

  • All airport collections: sixty (60) minutes from the confirmed actual landing time of the flight, at no charge.
  • All other pick-up locations: fifteen (15) minutes from the agreed collection time, at no charge.

Waiting time that exceeds the above allowances will be charged at our published per-minute rate, inclusive of any parking fees incurred by the chauffeur during the wait.

6.2 Additional Journey Costs

The fare quoted at the time of booking covers the agreed route, duration, and passenger count only. Additional charges may arise in the following circumstances:

  • Mileage exceeding the pre-agreed journey distance, invoiced at the applicable per-mile rate.
  • Extra stops added to the itinerary at the client’s request during the journey.
  • Extended hourly hire beyond the originally booked duration, subject to chauffeur availability.
  • Parking fees, congestion charges, or tolls incurred during the journey.

6.3 Payment

Full payment is required at the point of booking confirmation. For corporate account holders, payment terms will be governed by the individual account agreement. Post-journey supplementary charges — including excess waiting time, parking, and additional mileage — will be processed within twenty-four (24) to forty-eight (48) hours of journey completion and charged to the payment method on file.

6.4 Invoicing

Itemised invoices are issued within forty-eight (48) hours of every completed journey. Corporate account holders may receive consolidated monthly invoices in accordance with their account terms. All invoices are issued electronically to the email address provided at the time of booking.

6.5 Refunds

Refunds are issued in accordance with the cancellation terms set out in Section 4. The following additional conditions apply:

  • Refunds exceeding £250.00 are subject to a processing charge of 2% or the applicable card transaction fee, whichever is greater.
  • No refund will be issued for late cancellations, confirmed no-shows, or where the client has failed to notify us within the required timeframes.
  • Refunds will not be processed for missed flights, missed trains, or other time-sensitive appointments where the delay arose from circumstances outside our control.
  • All service complaints must be lodged within fourteen (14) days of the journey date. Claims submitted after this period or that cannot be substantiated will not qualify for a refund.

    6.6 VAT

    Vinta Rides operates under both principal and agent VAT models, depending on the nature and structure of the booking. The applicable VAT model will be clearly stated on your invoice. We recommend that clients seeking to reclaim VAT on chauffeur service expenses obtain independent tax advice to confirm their eligibility.

    6.7 Chargeback Policy

    Where a client initiates a chargeback through their card provider and Vinta Rides is required to prepare and submit documentation in response, an administrative handling fee of £150.00 will be levied against the client’s account. This fee applies regardless of the outcome of the chargeback investigation and is non-refundable.

    6.8 Surge & Event Pricing

    Vinta Rides operates a transparent pricing policy. Where dynamic pricing applies — including during major public events, bank holidays, or periods of elevated demand — any applicable surcharges will be clearly communicated and confirmed with the client before the booking is finalised. No surcharges will be applied retrospectively.

    6.9 Insurance Cover

    All vehicles operated by Vinta Rides are covered by comprehensive commercial vehicle insurance, public liability insurance, and employer’s liability insurance, as required under UK law. Documentation is available upon written request.

7. Promotional Offers & Discount Codes

Vinta Rides may from time to time offer promotional discounts and referral incentives. The following terms apply to all offers:

 

  • Only one promotional or discount code may be applied to any single booking.
  • Promotional codes cannot be used in conjunction with any other offer, corporate rate, or reduced fare.
  • Introductory and first-booking offers are valid for new clients only, on their first confirmed journey.
  • Promotional offers carry no monetary value, are non-transferable, and cannot be exchanged for cash under any circumstances.
  • Vinta Rides reserves the right to withdraw, amend, or extend any promotional offer at any time without prior notice.

8. Legal Framework

8.1 Regulatory Compliance

 

Vinta Rides operates in full compliance with the Private Hire Vehicles (London) (Operators’ Licences) Regulations 2000 and all applicable UK transport legislation. As a licensed private hire operator, we accept full responsibility for the professional conduct of our chauffeurs, the condition and roadworthiness of all vehicles in our fleet, and the lawful and safe execution of every journey we undertake.

 

8.2 Force Majeure

 

Vinta Rides shall not be held liable for any failure to perform, partial performance, or delay in the delivery of its services where such circumstances arise from events beyond our reasonable control. This includes, without limitation, extreme weather events, public health emergencies, acts of terrorism, civil unrest, governmental restrictions, infrastructure failures, or any other event that could not reasonably have been anticipated or prevented.

 

8.3 Third-Party Booking Platforms

 

Where a booking is placed through an external aggregator or third-party platform, Vinta Rides accepts no responsibility for errors, pricing discrepancies, data inaccuracies, or service failures arising from that platform. The client’s contractual relationship is with Vinta Rides, and these Terms and Conditions govern the service in its entirety regardless of the booking channel used.

 

8.4 Governing Law

 

These Terms and Conditions are governed exclusively by the laws of England and Wales. Any dispute arising from or connected to these terms, or any service provided by Vinta Rides, shall be subject to the exclusive jurisdiction of the courts of England and Wales.

 

8.5 Severability

 

Should any individual clause or provision within these Terms and Conditions be found to be void, unlawful, or unenforceable by a court of competent jurisdiction, that provision alone shall be severed from these terms. The remaining provisions shall continue in full force and shall not be affected by such severance.

9. Data Protection & Privacy

9.1 Our Commitment to Your Privacy

 

Vinta Rides is fully committed to protecting the personal data of all clients and ensuring its lawful and transparent use. We collect and process personal information solely for the purposes of journey booking and management, billing and invoicing, customer service and dispute resolution, and the safe and efficient operation of our services.

 

9.2 UK GDPR Compliance

 

All personal data is processed in strict compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Data is stored securely on UK-based or compliant servers and is never sold, rented, or disclosed to third parties for commercial or marketing purposes.

Personal data may be shared with third parties only where legally required or strictly necessary for service fulfilment — for example, with subcontracted chauffeurs, payment processors, or regulatory authorities. All such parties are subject to appropriate data processing agreements.

 

9.3 Your Rights

 

As a data subject, you have the right at any time to:

  • Request a copy of the personal data we hold about you.
  • Request the correction of any inaccurate or outdated information.
  • Request the deletion of your personal data, subject to any applicable legal retention obligations.
  • Object to or restrict the processing of your data in certain circumstances.
  • Withdraw your consent to data processing where consent is the lawful basis for that processing.

10. Complaints & Client Care

Vinta Rides is committed to delivering a service that exceeds expectations on every journey. Where we fall short of those standards, we want to know — and we take all feedback seriously.

Complaints must be submitted within fourteen (14) days of the journey date through any of the following channels:

We will acknowledge all complaints within five (5) working days of receipt. A full written response and proposed resolution will be provided within twenty-eight (28) days. For complex matters requiring further investigation, we will keep the client informed of progress at regular intervals throughout the process.

Where a complaint relates to a specific journey, please include your booking reference, journey date, and a clear description of the issue to help us investigate efficiently.
